Ownership entities

An entity is the legal owner of an asset — you personally, a household, a limited company, a partnership, a trust and so on. Recording the right entity against each property keeps ownership clear, especially when some properties are held personally and others through a company. For a company or LLP you can note its Companies House registration number.

Managing agents

You can record the managing agents who look after your properties, and assign each agent to a whole property, a single unit or a specific tenancy. For each assignment you set how the agent charges:

  • a fixed amount (monthly, annual or one-off), or
  • a percentage of the rent, plus
  • whether VAT (20%) is added on top.

That keeps your true costs visible against each property.

Keeping it all together

Documents — tenancy agreements, managing-agent agreements, safety certificates — can be linked to the property, unit or tenancy they belong to, so everything about a given property sits in one place. Expiries for things like an EPC or a gas safety certificate can appear on your calendar.

Good to know

Ownership entities also matter for net worth: your share of a property counts according to how it's owned, and keeping personal and company holdings separate stops them being muddled in your totals.
